The Challenge

Emerging technology is required to produce new forms of training necessary for success compared to traditional classroom and field instruction. The U.S. Army required an effective, consistent, and sustainable “learner-centric” training to create realistic scenarios that could be conducted anytime and anywhere, to enhance overall knowledge and retention.

By leveraging multiple devices such as laptops, tablets, and smartphones, training can be presented in unique and nontraditional settings. The Challenge

The client faced an aging Data Warehouse was unable to meet the growing demands of their businesses, and had limited ability to support growth and toolset requirements from business units. Summit Information Solutions supported the client in identifying the need to test Public Cloud capabilities.

Our Approach

Summit Information Solutions scoped the effort to ensure success and connected efforts with the Cloud Strategy. Appropriate case studies were selected to enable replication of current processes as well as support the development of new approaches. This enabled performance comparisons for both ongoing data analysis, and the creation of new capabilities. Daily Operations Metrics Snapshot

The Challenge

The client was challenged with sharing information from multiple tools to managers on a frequent basis. The inability to understand information from multiple sources as a management summary limited the ability to identify and correct issues before they impacted the client. A quick solution was needed that could present information and graphics from multiple management tools in a daily communication while a more strategic solution was developed.

Our Approach

Summit Information Solutions analyzed the existing toolsets and critical information needs. Based on this analysis, and deep experience with ITIL based IT management, an automated tool was developed that would query and analyze information from the Incident Management, Change Management, Ticket Management, Alert Management, Services Status, and Client Satisfaction systems. This tool created the required daily communications in minutes and was extended to create daily presentations that were previously created manually saving several person-hours per day.

Results

The Challenge

Our Interstate Toll Road management client found their IT Operations Services contracts supporting the core business systems were nearing the end of term and the current vendor engagement pattern was neither financially nor strategically viable. The client operates with a lean staff and quickly needed a mix of technology and procurement expertise to find, assess and engage a new set of vendors while incorporating a new IT Operations support model. Due to the fast approaching contract end-of-term dates, schedule deadlines were extremely tight.

Our Approach

The client had requirements and a current operating model to base the new IT Operations vendor engagement pattern but had not moved on any procurement activities.  Summit Information Solutions organized the team, mapped out the request for proposal (RFP) creation work to be accomplished, and in partnership with a mix of client subject matter expert resources, crafted the RFP, a selection assessment model, and procedures to finalize vendor selection.

The Challenge

The client was unable to meet the growing demands of their businesses due to an aging infrastructure. There were pressures to meet traffic growth demands and the need to replace end-of-life infrastructure as they created a plan to move to the Public Cloud. Summit Information Solutions paved a way forward after several false starts and failed migrations.

Our Approach

Summit Information Solutions analyzed the remaining tasks and missed requirements to develop a go-forward plan with milestones and decision criteria. We helped the client understand the critical path and missing elements to prior deployment attempts. Requiring all critical elements to be addressed as part of the go/no-go decision allowed senior management and the technical teams to have confidence in the approach.

Release Management

The Challenge

With their existing team spending all their time focused on trying to meet growing expectations with aging infrastructure and dated processes, the client engaged Summit Information Solutions to evaluate and recommend improvements that would allow them to deliver on their commitments to the organization.

Our Approach

Understanding the relationship between the Release Management processes and others in the ITIL framework, we baselined existing system management processes. This baseline review included several focus groups and walk-through sessions in addition to documentation review. Finding that many of the processes were not consistently performed or documented, we supported process improvement and documentation efforts. Another shortcoming was accuracy in the Configuration Management Database (CMDB) which was also missing dependency mapping information. We supported the discovery and population of this critical information in the CMDB integrated with change, release, and configuration management. Finally, we supported implementation and coordination of Release Review Boards. Through these recommendations the client engaged Summit Information Solutions to support the execution in operations of these key processes at which point we created a team to perform the Release Management activities, slotting and planning releases, and publishing release calendars. We further automated the change management process to link releases to change records and ensure accuracy of the CMDB.

Results

The team defined and implemented an Enterprise Release Management Policy, Process and Procedures. The IT assets are in a centralized database, controlled and kept up-to-date. Dedicated Release Managers are assigned to facilitate regular release planning activities along with managing and controlling their respective releases. Release calendars provide transparency to future changes and review boards were established to regularly assess the impact of changes on the test and production environments. Release metrics are available to all stakeholders. Most importantly, the incidents related to changes has been greatly reduced, and new software and infrastructure performs as expected when introduced to production.

Third Party License Management

The Challenge

The client was challenged with an efficient and reliable method to manage contracts containing software license agreements. Business divisions could not accurately forecast which licenses were about to expire. Each division had their own ad hoc process to track licenses. As a result, contracts and the associated licenses were not always renewed on time. In addition, funding and appropriations were at times not included in budgets for license renewals that were needed.

Our Approach

Summit Information Solutions initially conducted an analysis of the existing processes and tools in place to manage license contracts and contract renewals. A database was created with information on all license contracts including expirations dates. New processes were developed based on best practices to utilize the information in the database and automatically notify users of upcoming renewals. Strategies were also developed for negotiating contract renewals and new contracts.

Results

The client realized significant savings over the life of the project through better contract negotiations and contract consolidation on several key renewals. In addition, the client implemented processes and procedures to provide users with timely information on upcoming renewals, reducing the number of missed renewals and improved budget planning. ​
